Creating a Submittal
To create a Submittal:
- Once logged into the project, from the project secondary navigation bar, select SUBMITTALS - SUBMITTALS and select 'Add New'.
- Note that forms displayed on the project title bar are configurable. If you do not see SUBMITTALS - SUBMITTALS, select 'More...' - 'Configure My Menu'. Add the SUBMITTALS form to your secondary navigation menu. See the screen shot below.
- Enter the Subject. Subject is a required field and must be completed in order to save the submittal.
- Specification Section - Click the 'Choose' button. Select the Specification to be associated with this Submittal and click the 'Choose' button
- Once the Submittal is saved, the Specification Section referenced in the Submittal can no longer be changed
- For information on creating Specifications, see the Help section Specifications
- Enter the Submittal #. Submittal # is a required field and must be completed in order to save the submittal. The Submittal # suggests the next available number based on the Specification Section selected
- Submittal # is auto incremented based on the linked Specification Section including the revisions of those Specifications.
- Spec Section 0001 - Submittal # 01, Submittal # 02, etc.
- Spec Section 0002 - Submittal # 01, Submittal # 02, etc.
- Spec Section 0002 Revision 001 - Submittal # 01, Submittal # 02, etc.
- Once the Submittal is saved, the Specification # can no longer be changed
- Revision # - The first submittal starts at revision 0. This number can be changed.
- Revision Date - Enter the date of the Submittal
- Type - Select the appropriate submittal type from drop down. This field can be left blank.

- Submittal For - Make the appropriate selection from the drop down
- Approval

- Target Approval Date - Select the expected Target Approval Date from the Calendar
- Approval Lead Time (Days) - The number of days entered to calculate the Due Date based on the Target Approval Date
- Submittal Workflow Fields - The following fields are part of the Submittal Workflow process and are not directly entered or edited.
- Due Date - The Due Date is a calculated field that subtracts the Approval Lead Time from the Target Approval Date
- Status - Calculated field that will show a value of Not Submitted, Submitted or Closed based on other fields
- Original Submitted Date - The date that the first Submittal within the Submittal # was submitted into workflow via a Submittal Package
- Revision Submitted Date - The date that this Submittal revision was submitted into workflow via a Submittal Package
- Ball in Court - The user that this Submittal is assigned to from the last step in the workflow of its Submittal Package
- Days Ball in Court - The number of days this Submittal has been sitting at its current Ball In Court
- Closed Date - When a Submittal has a Closed Date then its Status will show a value of Closed and it will no longer be eligible to pull into new Submittal Packages
- Save the Drawing
Creating a Submittal Revision
From an existing DrawingSubmittal, click the 'Create Revision' button. The Revision # will be automatically incremented based on the last revision number for that drawingsubmittal. The Revision # is editable and can be changed. Using the 'Create Revision' button will create the drawing submittal revision with the same drawing same submittal information from which the revision was created. From here, edit the drawing the submittal revisions as necessary and save the new revision.
Editing a Submittal
To edit a drawing, click the 'Edit' button from either the Drawing form or from the Drawing log view. Edit as desired and click 'Save' to save changes.
Viewing a Submittal
Drawings can either be viewed in form view or the log view. To view drawings in log view, ensure that you have configured your secondary navigation menu to display the PLANS & SPECS form. See the screen shot below. Clicking 'PLANS & SPECS' on the secondary navigation menu will display a dropdown selection where DRAWINGS is displayed as an option. To view the drawing in form view, simply click the Subject link for the desired drawing.

Revision History can be easily viewed on the Drawing form. On the Revision History panel, view the list of more recent revisions of the drawing. The Revision History panel provides a 'View' button for each revision of the drawing. Easily jump to the desired revision by clicking the 'View' button for that revision. |
Linking a Submittal to a Submittal Package
Drawings can be bundled into a Drawing Package for review as a package. To link a Drawing to a Drawing Package, select 'DRAWING PACKAGES' from the 'PLANS & SPECS' form on the secondary navigation menu. Click the 'Add New' button to create a Drawing Package. Under the Drawings collection, click the 'Add Drawings' button. Selection one or more drawings to be linked to the Drawing Package and click the 'Add Revisions' button. Once a Drawing has been linked to a Drawing Package, the Package Links panel on the Drawing will contain a Subject link. Clicking the Subject link will take you directly to the Drawing Package to which the Drawing is linked. |
Sharing a Submittal
To share a Drawing form to other project users, click the 'Share' button on the Drawing in form view. Use the Share modal to share the Drawing to other project team users. For more information on sharing, please see the Help section Sharing Information

When a Drawing is linked to a Drawing Package, the Sharing rights on the Drawing Package will automatically be applied to the linked Drawing. Share changes on the Drawing Package will also be updated on the linked Drawing. |
