Navigating to Submittals

The Secondary Navigation bar displays the common forms used in the system. The forms you most commonly use can be configured to be displayed on the Secondary Navigation pane. To configure the Secondary Navigation pane to display SUBMITTALS as one of the default forms, select 'FORMS' and click the 'Configure My Menu' button.

Viewing a Submittal Item

Submittal Items can either be viewed in form view or the log view. To view submittal items in log view, ensure that you have configured your secondary navigation menu to display the SUBMITTALS menu. See the screen shot below. Clicking  'SUBMITTALS' on the secondary navigation menu will display Submittals on the Items tab. To view the submittal in form view, simply click the Subject link for the desired submittal.

Linking a Submittal Item to a Submittal Package

Submittal items can be bundled into a Submittal Package for review as a package. To link a Submittal Item to a Submittal Package, select SUBMITTALS on the secondary navigation bar. Click the 'Add New' button to create a Submittal Package. Under the Submittal Items collection, click the 'Add Existing' button. Selection one or more Submittal Items to be linked to the Submittal Package and click the 'Add ' button. For more information on Submittal Packages, please see the Help section Submittal Packages

Sharing a Submittal Item

To share a Submittal Item to other project users, click the  'Share' button on the Submittal Item in form view. Use the Share modal to share the Submittal Item to other project team users. For more information on sharing, please see the Help section Sharing Information The following rules apply to sharing Submittal Items

• Sharing any one Submittal Item revision, shares all revisions for that same Specification Section/Number combination.
• Halting a user on one revision of a Submittal Item does not halt the user on all revision of that Specification Section/Number combination.
• Sharing a Submittal Package to which a Submittal Item is linked, propagates the Submittal Package shares to all linked Submittal Items and the related revisions of those Submittal Items.

Deleting Submittal Items

To delete the most recent revision of a Submittal Item, select '...Delete' on the Submittal Items form. At the 'Delete?' courtesy prompt click 'No Never mind' to cancel the process or click 'Yes' to proceed. Submittal Items can only be deleted in the following scenarios.

. Select 'SUBMITTALS' and then click 'Save'. SUBMITTALS should be displayed on the Secondary Navigation pane.

The Submittals Log

The Submittals Log is displayed by default when navigating to SUBMITTALS from the Secondary Navigation pane. The Submittals Log is comprised of two tabs.

1. Items - Displays a list of Submittal Items
   • Add New Item - Use this option to create new Submittal Items. See more on Add New Item under sub section Submittal Items
   • Add New Package - Use this option to create new Submittal Packages. See more on Add New Package under sub section 'Submittal Package'
   • Print - Click the 'Print' button to print a list of Submittal Items.
   • ...Configure Log - Use this option to configure which fields are displayed as columns in the Submittal Log - Items tab.
   • ...View Shared With - To easily see which Submittal Items are shared to which Share Groups, click the '...View Shared With' button. Enter the user and click 'View'.
   • ...Customize Form Fields - Custom fields can be added to the Submittal Items form by clicking the '...Customize Form Fields' button. For information on creating custom fields, see Help section Custom Fields
2. Packages
• Add New Item - Use this option to create new Submittal Items. See more on Add New Item under sub section Submittal Items
• Add New Package - Use this option to create new Submittal Packages. See more on Add New Package under sub section 'Submittal Package'
• ...Configure Log - Use this option to configure which fields are displayed as columns in the Submittal Log - Packages tab.
• ...View Shared With - To easily see which Submittal Packages are shared to which Share Groups, click the '...View Shared With' button. Enter the user and click 'View'.
• ...Customize Form Fields - Custom fields can be added to the Submittal Packages form by clicking the '...Customize Form Fields' button. For information on creating custom fields, see Help section Custom Fields
• Grouping - The Packages tab displays each Submittal Package and any linked Submittal Items under that package. This visibility allows the user to quickly see which Submittal Items are linked to which Package and if necessary, click the Subject link for the Submittal Item to view the linked item.

Show Latest Revisions Only - Available for Submittal Items, check the 'Show Latest Revisions Only' box to show only the latest revisions of all Submittal Items

Sharing - From the Submittals log, multiple documents can be shared using the 'Selection' column. Select one or more documents on the Items or Packages tab, and then click the 'Share' button. For information on sharing, see Help section Sharing

Searching - Whether you are on the Items tab or Packages tab, use the Search box for one column or a combination of columns to search for documents that meet the search criteria.
