Creating Distribution Lists

While Share Groups are defined by users on the project that are associated with your company, Distribution Lists are defined as a list of users on the project regardless of the company they are associated with. To create a Distribution List, select 'View Project Information' under the Project Administration section on the project homepage. In Project Administration, click the 'Distribution List' tab. Click the 'Add New' button. Enter the List Name (Required) and the Description. Click the 'Save' button when finished. The Distribution List will be listed in the Distribution Lists Log. Multiple Distribution Lists can be setup for any project.

Where Can I Use Distribution Lists?

Distribution Lists can be used in the following areas of the system

  • Workflow - Workflow is a step-by-step review process in which users can be assigned responsibility for each step. Distribution Lists can be used when configuring workflow steps in the 'Send To' and 'Also Copy' fields .   • Sharing - Sharing information is at the heart of Projectteam.com. Create documents and project forms within the system and then effortlessly share that information with other members of your team. When sharing documents, files, folders, or action items, use the 'Apply Distribution List' button to easily share to a list of users defined in a Distribution List. Deleting a Distribution List

When a Distribution List is no longer needed, it can be deleted. Any full user of the project that is associated with the same company as the user who created the Distribution List, can delete it. To delete a Distribution List, click the '...' on the Distribution Lists and select 'Delete'. You will be prompted to confirm your delete. Select 'No Never mind' to cancel the delete process or 'Yes' to confirm.
