Creating a Specification

To create a specification:

  1. Once logged into the project, from the secondary navigation bar, select PLANS & SPECS - SPECIFICATIONS and select 'Add New'.
    1. Note that forms displayed on the secondary navigation bar are configurable. If you do not see PLANS & SPECS - SPECIFICATIONS select 'More...' - 'Configure My Menu'. Add the PLANS & SPECS form to your secondary navigation bar. See the screen shot below. SPECIFICATIONS is part of the PLANS & SPECS menu and should be displayed once the PLANS & SPECS form has been added to your secondary navigation bar.
  2. Enter the Subject. Subject is a required field and must be completed in order to save the specification.
  3. Enter the Division. Division is a required field and must be completed in order to save the specification.
    1. Divisions must be setup before you can create specifications. To setup divisions, click the '... Customize Form Fields' from the Specification Log. Click the 'Edit' button (Pencil) next to the Division field. Add your divisions to the pick list and click 'Save Changes'
  4. Enter the Specification #. Specification # is a required field and must be completed in order to save the specification.
  5. Revision # - The first specification starts at revision 0. This number can be changed.
  6. Revision Date - Enter the date of the specification revision
  7. Discipline - Select the appropriate discipline from drop down. This field can be left blank. 
    1. Architectural
    2. Civil
    3. Engineer
    4. Interior Design
    5. Landscape
    6. Mechanical
    7. Plumbing
    8. Structural
    9. Site
    10. Other
  8. Enter the Design Company, Design Contact, and any General Notes that pertain to the Specification form.
  9. Save the Specification

Creating a Specification Revision

From an existing Specification, click the 'Create Revision' button. The Revision # will be automatically incremented based on the last revision number for that specification. The Revision # is editable and can be changed. The 'Create Revision' button is only available on the latest revision of the Specification.

Editing a Specification

To edit a specification, click the 'Edit' button from either the Specification form or from the Specification log view. Edit as desired and click 'Save' to save changes.

Viewing a Specification

Specifications can either be viewed in form view or the log view. To view specifications in log view, ensure that you have configured your secondary navigation menu to display the PLANS & SPECS form. See the screen shot below. Clicking  'PLANS & SPECS' on the secondary navigation menu will display a dropdown selection where SPECIFICATIONS is displayed as an option. To view the specification in form view, simply click the Subject link for the desired specification.

Revision History

Revision History can be easily viewed on the Specification form. On the Revision History panel, view the list of more recent revisions of the specification. The Revision History panel provides a 'View' button for each revision of the specification. Easily jump to the desired revision by clicking the 'View' button for that revision.

Linking a Specification to a Specification Package

Specifications can be bundled into a Specification Package for review as a package. To link a Specification to a Specification Package, select 'SPECIFICATION PACKAGES' from the 'PLANS & SPECS' form on the secondary navigation menu. Click the 'Add New' button to create a Specification Package. Under the Specifications collection, click the 'Add Specifications' button. Selection one or more specifications to be linked to the Specification Package and click the 'Add Revisions' button. Package Links Panel

Once a Specification has been linked to a Specification Package, the Package Links panel on the Specification will contain a Subject link. Clicking on the Subject link will take you directly to the Specification Package to which the Specification is linked.

Sharing a Specification

To share a Specification form to other project users, click the  'Share' button on the Specification in form view. Use the Share modal to share the Specification to other project team users. For more information on sharing, please see the Help section Sharing Information 

Sharing Notation:

When a Specification is linked to a Specification Package, the Sharing rights on the Specification Package will automatically be applied to the linked Specification. Share changes on the Specification Package will also be updated on the linked Specification. When sharing any revision of a Specification, all revisions of that same Specification will be shared equally.

Deleting Specifications

To delete the most recent revision of a specification, select '...Delete' on the Specification form. At the 'Delete?' courtesy prompt click 'No Never mind' to cancel the process or click 'Yes' to proceed. Specifications can only be deleted in the following scenarios.

  1. The Specification is the most recent revision
  2. The Specification is not linked to a Specification Package
  3. The Specification has not been shared

Where are Specifications used throughout a project?

Specifications can be linked to several form types throughout your project. The following provides a list of those form types.

  • Specification Packages
  • Contracts - Specifications tab, Schedule of Values - Spec Section
  • Submittals - Specification Section
  • Submittal Packages - Specification Section
