Project email address location

There are two places within Projectteam.com where you can find the email address specific to your project. 

  1. Project Information Page - Navigate to the homepage of your project, then click the "View Project Information" button. After that, you are taken to a page that shows the general information about your project and you can find the "Project Email Address" on that page

  2. Email Form Log - Once you are inside a project, click the "More..." tab on the secondary navigation. You are taken to a list of all form types you have on the project, including the "Email" form. Click the "Email" link and you are taken to the Email Form Log. On top of the log you can find the "Project Email Address".

Sending email to the project

To send email to the project, locate the project email address as defined above. Copy this email address into to TO field of your configured email to the project. Send the email. All emails sent to the project can be viewed by entering that project and opening the emails form. Attachments sent via email are including in the attachments panel of the email form and are also stored in the File Management System. Viewing your emails

To view your email log of emails sent to the project, logon to that project and click the "View Project Form Types" on the Form Types box. Then select the emails form to show the log of emails. Similarly, if you have configured your form menu, you can select "Emails" from the form header toolbar. Select the email you wish to view.

Benefits of sending email to the project

  • Scenario 1: Joe User is assigned an Action Item (RFI) to supply information regarding drawing discrepancies. Joe sends an email to the project and shares that email to other project members. Joe can also link that email to the existing RFI directly. Additionally the linked email is a 2-way link (RFI - Email, Email - RFI). Clicking on the referenced link in the RFI takes the user directly to the email and clicking on the link in the email takes the user directly to the RFI.
  • Keeping a log - A log of emails sent to the projects is kept for reference.
  • A great repository for all project correspondence.

Creating an alias name for the project email

The project email address is a globally unique email address and by default, it is a long string that can be very hard to remember. Many clients create an alias for this email address and change it to something that is easier to use and remember. All you have to do is create a new "Contact" in your email service. Follow the steps below:

Microsoft Outlook

  1. Click the "Contacts" link (usually found in the bottom left side of your window by Mail and Calendar)
  2. Click "New Contact" to add a new contact (usually found in the upper left side of the window)
  3. Put in your desired name into the "Full Name" field
  4. Copy the project email address from ProjectTeam into the "Email" field
  5. You can then edit the "Display as:" field if you want
  6. Save

In Microsoft Outlook, you can then forward that Outlook contact to other members of your project team. They will then be able to use the alias you created as well.

Gmail

  1. Click the "Contacts" link (usually found under the "Gmail" dropdown on the left side of the screen)
  2. Click the "Add New Contact" button (usually found on the bottom right of the window)
  3. Enter the name you want to use in the "Enter a name" field
  4. Copy the project email address from ProjectTeam into the "Add an email" field
  5. Save
